How The Quantium School collects, uses and protects the personal data of parents, students and visitors to our website.

The Quantium School, Mokila, Hyderabad, Telangana (“the School”, “we”, “us” or “our”), a school of the Excellencia Group, respects the privacy of every family that interacts with us. This Privacy Policy explains what personal data we collect through our website thequantiumschool.com, our enquiry and admission forms and our communication with you, why we collect it, and the choices and rights you have. We process personal data in accordance with the Digital Personal Data Protection Act, 2023 and the rules made under it, and other applicable Indian laws.

1. Who this policy applies to

This policy applies to parents and lawful guardians who enquire about or apply for admission, to students whose information is shared with us by their parents or guardians, and to anyone who visits our website or contacts us by phone, email, WhatsApp or social media.

2. Information we collect

Information you give us when you enquire or book a campus visit:

  • Parent or guardian name, mobile number and email address
  • Child’s name and the grade applied for
  • Your locality or PIN code
  • Day scholar or boarding preference, and any message you choose to share

Information you give us during the admission process: the child’s date of birth, previous school records and transfer certificate, photographs, proof of address and identity documents, parent details, and health, allergy or special-needs information needed to care for your child safely at school and in our residences. These are collected only when you proceed with an application.

Information collected automatically when you use our website: device and browser type, pages visited, time spent on pages, the website or advertisement that referred you (including campaign parameters such as UTM tags and ad click identifiers), and approximate location derived from your IP address. This is collected through cookies and similar technologies described in section 7.

3. Children’s personal data

Our admissions relate to children, so we take particular care with their data. We collect and process a child’s personal data only with the verifiable consent of a parent or lawful guardian, and only for purposes connected with their education, safety and wellbeing. We do not undertake tracking, behavioural monitoring or targeted advertising directed at children. Our website forms are meant to be completed by parents or guardians, not by children.

4. How we use your information

  • To respond to your enquiry and share information about admissions, curricula, fees, transport and boarding
  • To schedule campus visits, guided tours and the admission interaction session
  • To process applications, verify documents and complete enrolment
  • To contact you by call, SMS, email or WhatsApp about your enquiry or application, as you have agreed when submitting our forms
  • For enrolled students, to run day-to-day academic, residential, health and safety, and parent-communication activities
  • To understand how our website and admission campaigns perform so we can improve them
  • To meet our legal and regulatory obligations, including those of CBSE and government authorities

5. Consent and withdrawal

When you submit an enquiry or application, you consent to us processing the information for the purposes stated on the form and in this policy. You may withdraw your consent at any time by writing to us at the contact details in section 12. Withdrawal will not affect processing already carried out, and we may not be able to continue with an enquiry or admission without the information required for it.

6. Who we share information with

We do not sell or rent your personal data. We share it only where needed, and only with:

  • Service providers who help us operate, such as website hosting, enquiry management (CRM), email, SMS and WhatsApp messaging, and payment providers, who act on our instructions and must keep the data secure
  • Analytics and advertising platforms such as Google and Meta, which receive website usage information to measure and improve our campaigns
  • Institutions within the Excellencia Group, where this is needed to handle your enquiry or application
  • CBSE, examination boards, government and regulatory authorities, or law-enforcement agencies, where we are required by law

7. Cookies and similar technologies

Our website uses cookies and tags, including through Google Tag Manager, to keep the site working, remember your preferences, understand how visitors use our pages and measure the results of our advertising. You can block or delete cookies in your browser settings. Some parts of the website may not work as intended if you do.

8. How long we keep your information

We keep enquiry information for as long as it is needed to respond to you and to manage the admission cycle you enquired about, after which it is deleted unless you enrol or ask us to stay in touch. Records of enrolled students are kept for as long as required by CBSE, education regulations and other applicable laws. When information is no longer needed, we erase it securely.

9. How we protect your information

We use reasonable security safeguards to protect personal data from unauthorised access, loss or misuse. These include encrypted connections to our website, access controls so only authorised staff can see the information they need, and agreements with our service providers. If a personal data breach occurs, we will inform affected individuals and the authorities as required by law.

10. Your rights

Under the Digital Personal Data Protection Act, 2023, you have the right to:

  • Ask for a summary of the personal data we hold about you or your child and how it is used
  • Ask us to correct, complete or update inaccurate or incomplete information
  • Ask us to erase information that is no longer needed, unless the law requires us to keep it
  • Withdraw your consent
  • Nominate another person to exercise these rights on your behalf in the event of death or incapacity
  • Have your grievance addressed by us, and, if you are not satisfied, to approach the Data Protection Board of India

To exercise any of these rights, contact us using the details in section 12. We may need to verify your identity before acting on your request.

11. Links to other websites

Our website links to and embeds content from other services, such as Google Maps, Instagram and our 360° virtual campus tour. Those services have their own privacy policies, and we are not responsible for how they handle your information.
